With just a few clicks you can instantly determine exactly how much you are paying in fees and exactly how much you are making in profit every time you sell on eBay. All of the possible ways of selling on eBay are included. It's not only a calculator, it's a fee-comparison tool. You can use it to compare the different listing formats to see which is the best (most profitable) format to list in for any item you may be selling. It also gives you the ability to reverse calculate your fees. That means you tell the calculator the amount you want to receive after fees and it tells you what to charge to receive that amount.

You can keep a record of your sales using the included Sales Log spreadsheet or print out a chart showing what your fees would be for common amounts using the included eBay Fees Chart. You can also reverse calculate price for a large number of items at once using the included Markup spreadsheet. If eBay ever changes their fees in the future (or you want to calculate the fees for another service) you can edit all of the fee rates used by the spreadsheet using the included Edit Fee Rates worksheet.

The Fee Calculator spreadsheet allows you to calculate what your fees and profit would be when selling on eBay. There are side-by-side calculators for all of eBay's various listing formats and a colored bar to show you which is the best format to list in. The US version also includes a fee calculator for Half.com. The boxes in yellow are what you fill in and the boxes in red and green are what the calculator fills in. You can enter:

• How many items you are offering for sale
• How many items you successfully sold
• How much you are charging for Shipping & Handling
• How much you actually paid in postage
• How much you paid to acquire the item (optional)
• The price you sold the item for

The calculator will figure out your total eBay fees, your total PayPal fees and your total profit from the sale.

You can reverse calculate fees by typing into the "To Receive" box. You tell the calculator the amount you want to receive after fees and it tells you what to charge for your item or what to charge for S&H to receive that amount. In effect, it incorporates all of your fees into the selling price of your item (or your S&H charge). When using this feature, please be mindful of eBay's excessive Shipping & Handling policy and PayPal's surcharge policy. You can also calculate your break-even point by typing in $0 as the amount you want to receive in profit.

The included eBay and PayPal Fee Chart Spreadsheets let you customize and print nicely formatted charts showing what your fees and profit would be for common amounts when selling on eBay or when receiving payments via PayPal. The eBay Fees Chart includes both your eBay fees and your PayPal fees. The PayPal Fees Chart only includes PayPal fees. You can customize:

• Whether or not Insertion Fees are included
• Whether or not Final Value Fees are included
• Whether or not Buy It Now Fees are included
• Whether or not PayPal Fees are included
• Whether or not you are a Powerseller
• What category you are selling in
• What PayPal fee rate should be used

You can customize all the dollar amounts shown in the chart or you can use the built-in ones. Common item amounts from $1 to $2000 are included. The Fee Charts come in both spreadsheet format (editable), and PDF format (non-editable).

The eBay Sales Log spreadsheet allows you to keep a record of all your sales on eBay. You can enter:

• The date of the transaction
• The name of the item you sold
• The item number of the item
• Which listing format you used
• What you paid to acquire the item (optional)
• What price you sold the item for
• The amount you charged for Shipping & Handling
• The amount you actually paid in postage
• A commission percentage or amount (optional)
• Your buyer's name, e-mail address, and shipping information

The spreadsheet will automatically calculate all of your eBay and PayPal fees and will show your Average and Total sale amounts at the top.

The eBay Markup spreadsheet allows you to apply a certain markup percentage or amount to a large number of items at once. It can tell you what price to sell your item for or what to charge for Shipping & Handling to receive the amount you want after fees.

The spreadsheet is set up as a list and for each item in the list you can enter:

• The name of the item
• How much you paid to acquire the item
• How much you spent to ship the item (optional)
• How much you charge for S&H (optional)
• The markup amount you want to receive or
• The percentage markup you want to receive

The spreadsheet will tell you:

• What amount you would need to charge for S&H or
• What amount you would have to charge for your item

to receive the amount you want after fees. The spreadsheet expects you to fill in either a "Markup Amount" or a "Markup Percentage", which can be different for each item. If you enter 0 as both your "Markup Amount" and "Markup Percentage" it will calculate your break-even point.

The spreadsheet is also color-coded to make it easy to determine what you fill in and what the spreadsheet fills in. The yellow cells are what you fill in and the green and purple cells are what the spreadsheet fills in for you.

Technical Requirements

You will need a computer capable of opening one of the following formats:

      Yes, you can view the formulas, but rather than copying and pasting long and complex formulas from one spreadsheet to another, I've created this additional spreadsheet for you that can more easily accomplish what you need. I'm including this as a free bonus to everyone who purchases this calculator. This spreadsheet allows you to add a specified markup (either as a percentage or as an amount) to a large number of items at once. To more easily understand what the spreadsheet does take a look at this screenshot:

      You can add as many items as you like to a list and for each item you can specify what you paid for the item (under the "Cost" column), what you paid to ship the item (under the "Actual S&H" column), and what you charged the buyer for S&H (under the "Charged S&H" column). It will then calculate how much you would need to increase your S&H by OR how much you would need to increase your item's price by in order to achieve that desired markup amount.

    eBay's fee structure changed dramatically in the last month. Has your spreadsheet been updated accordingly? The screenshots show several features that eBay has discontinued (like highlight, Pro Pack, etc) and so I wondered if the spreadsheet has been updated with these changes yet? Also, I've used your online calculator many, many times, and I want to thank you personally for providing it!

      On October 20, 2009 I went through and updated the calculator to fully align with eBay's current fee structure and I removed the listing upgrades that are no longer available on eBay.com including: Gift Services, Border, Highlight, Featured Plus, Home Page Featured and Pro Pack. I've also updated the version number of the calculator to version 1.1.

      Starting with version 1.5 this spreadsheet will work in any spreadsheet program on the Mac that can open a .XLS file. A .XLS file is an Excel 97-2003 spreadsheet that can be opened by virtually any spreadsheet program in the world. You could also download the Mac version of OpenOffice.org or NeoOffice.

      Unfortunately, because Office 2008 for Mac doesn't support ODF (read here for more info) you won't be able to open my original OpenOffice versions.

    Hi - will this help me with the info I will need for filing taxes in 2011? Can it be used for profit and loss for each month?

      I've been receiving a number of comments lately from sellers saying they would like to more easily be able to see their totals for the month and the year so I've decided to make a change. Now, instead of one sales log spreadsheet, you have 12, one for each month of the year. Each month is now on it's own tab. To enter your sales for January just click on the "Jan" tab, to enter your sales for February, just click on the "Feb" tab and so on.

      I've also added a brand new tab to the spreadsheet called "YTD" which stands for "Year To Date". By clicking on the "Year To Date" tab you can see all of your total income and expenses (including all of your eBay and PayPal fees) for each individual month and for the year in total. Nothing on this tab has to be entered manually. Everything is automatically calculated for you.

      Starting with version 1.5 this spreadsheet will work in any spreadsheet program on the Mac that can open a .XLS file. You could also download the Mac version of OpenOffice.org or NeoOffice. I design and develop all of my spreadsheets using OpenOffice.org and that is the program I recommend people use to open them (because it's free and cross-platform).

      As for organizing your sales by time period, I've been receiving a lot of similar comments from other sellers and I've added something for this in version 1.5. Now the Sales Log has different sales sheets for each month and a "Year To Date" overview screen showing your total fees and profit for each month and for the year in total.

    I bought the spreadsheet which is awesome! I just need to know how i can enter products into the sales sheet for combined shipping items. For example. I sell one item for .99 and $3 shipping. and the same bidder won a additional item for .99 and only has to pay .50 for the item to be shipped with the first. How would i enter it into the sales log to calculate it properly because right now its doing a separte paypal charge when its one payment.

      If a buyer bought multiple non-identical items from you, you would enter them as separate items in the Sales Log, but under the "S&H" field, where you enter the amount you charge for Shipping & Handling, you would only fill that in for one of the items (the total combined shipping amount), and for the other items you would enter $0.

      Now, because they're listed separately in the Sales Log, their Final Value Fees are being calculated separately, which is what you want because eBay charges you separate FVF for separate items (even if you shipped them to the same buyer).

      So the only thing you have to worry about is PayPal fees. By default, the Sales Log will calculate PayPal fees for each individual item, but that's not what you want because the buyer only sent you one payment for all items (and PayPal only charged you 1 fee). So what you have to do is a manual override. All you have to do is click on the cell that contains the PayPal fee for that item, then type the fee amount that PayPal actually charged you. Then, for the other items you can manually override their PayPal fee amounts to $0.00.

      To figure out the right fee amount to enter, just change the "End" column to the total amount for all items then scroll over to the right to see the actual PayPal fee amount and delete the formula in that cell with the amount. Just click on the cell and type the amount and press Enter. Then go back and change the price of the item back to it's original price.

      In a future version, I was thinking of using the "Tracking Number" field to make this process easier. I can make it so that if multiple items have the same tracking number I would know that they are the same shipment and using that I would be able to calculate the appropriate PayPal fee for the total shipment. Even if you don't have a tracking number, you would be able to type in any number you like and it would work just the same.

    I had one more question if its not to much. For the month of Feb. I had 383 unsold store items. Is there a way to put them all in under one log. Lets say qty 383 . All end at 0. I did this and it didnt calculate all the fees . Just one .3 fee. Is there a way to do this without having to copy and paste 383 items into the sales log.

      With unsold items you don't have to pay PayPal fees and you don't have to pay Final Value Fees, so the only thing you have to worry about are Insertion Fees. The Qty field represents how many items you sold in an individual listing, so that's why when you type in a Qty of 383, it gives you an Insertion Fee of $0.03 because it assumes you sold all the items within a single listing. To multiply/extrapolate Insertion Fees for multiple listings you can use a manual override. Here's how. First, in the Qty field type your quantity, for example 383. Then in the Insertion field, where it says $0.03, click on that and type:

      =0.03*383

      That will take your Insertion Fee of $0.03 and multiply it 383 times. Remember to type the equals sign (=) first because that tells your spreadsheet program to perform a mathematical operation and not just display what you've typed literally. If your Qty happened to appear in cell L8 you could also type this instead:

      =0.03*L8

      Doing this will delete the formula that's in there but that's alright in this case because you know for a fact what your Insertion Fees are.

    I was wondering if you were planning to make a Calulator for eBay sellers from the USA who sell in Europe, Specifically the UK (GBP) and France,Spain(EUR) Converting these currencies to USD Dollars including the cross border fee and the 2.5% Fee for the Exchange rate charged from converting EUROS &POUNDS to USD Total Proft.

      I've added a new feature to my eBay spreadsheet to account for situations like this. You can now enter an amount someone has sent you in a non-USD currency, for example Euros, and it will tell you what your PayPal fees would be, and what you would receive after fees in USD accounting for the cross-border fee and the 2.5% exchange rate fee. You can also type the amount you want to receive in USD and it will tell you what to charge in GBP or EUR to receive that amount after fees. You can also calculate your profit from an eBay sale with a non-USD currency. You can find more detailed instructions and read about other new features I've added in version 1.5 here:

    The sales log is something I really WANT to use (and have been looking everywhere for), but the thought of having to input all the information manually is putting me off. Any chance you could develop it to where it would automatically pull this information from eBay/PayPal? That would be PERFECT!

    Since I already have Quickbooks, I was about to try eBay's Accounting Assistant but got put off by the comments in the AA discussion board... NOT ONE person said it worked!! Evidently it won't download new transactions and has been 'broken' since last summer. The company that is developing it seems to have turned a deaf ear and offers no solutions or explanations... just nothing. NO Thanks!!

    I can download my account activity into a csv format, but then I have to fool around with it in Excel and the only info it gives are Date, Item Name & Number and eBay's fees. It doesn't have PayPal's fees & transactions or Buyer information... no sales information at all! They do have a Sales Report, but that gives only a summary... no detail.

    What I'm looking for is exactly the detail you have in your Sales Log Spreadsheet... just like it is now... all it needs is a way to pull all that information in automatically from eBay and PayPal! It will be a great tool which will allow us find the information we need quickly and get back to the business of selling instead of doing data entry.

    If necessary, I would be willing to pay extra for this kind of functionality!

    What are the other columns for the Sales log worksheet? I like that it calculates them horizontally rather than vertically like the Calculator worksheet does. Does it take into account Paypal fees and everything the Calculator worksheet does?

    Also, I think I would need to have a cell for shipping materials I bought to subtract it from the final fees after all E-bay fees and Paypal fees.

      Aside from listing upgrades and "travel costs", the Sales Log includes everything the calculator worksheet does, including PayPal fees.     Ryan, how do I get the spreadsheet to calculate the correct fees when I only have 2, 3 or 4 pictures (in addition to the free one)? I don't see an option for the number of pictures in the Listing Upgrades Fees tab/sheet, just the Picture Pack option for .75 which would be too high. I can work around this by using the Picture Pack option and editing the fee each time, but is there a better way?

      Right above the option for Picture Pack is a dropdown list where you can choose the individual number of pictures you're adding. By default it says "1 (First Picture Free)" and a fee amount of $0.00. If you click on where it says "1 (First Picture Free)" and type the number of pictures you're adding (in total) it will show the correct fee in the Fee box. For instance, if you type 3, it will show a fee amount of $0.30 (1 free picture plus $0.15 x 2 additional pictures).

    I am considering buying your eBay Spreadsheet, but I would like to know if it's possible to add aditional costs. I have to pay 10% to my shipper, so I would like to be able to calculate what to charge for my item taking into account what I have to pay my shiper.

      Yes, it's possible using the Consignment Fees section. Consignment Fees are extra, third-party fees you pay in addition to the fees you pay to eBay and PayPal. You can either fill in a flat fee amount (for example $10) or a percentage fee (for example 10%). When the reverse calculator does it's job it will take into account any consignment fees you may have entered. If you're using the Fee Calculator or Sales Log spreadsheets there are special fields where you can type in consignment amounts. If you're using the Markup spreadsheet (a "mass" reverse calculator), you can manually add 10% to the fees in the "Edit Fee Rates" worksheet. I will work on adding a consignment field to that spreadsheet in the future.

Here in Australia our tax year runs from July through to the following June. Is it possible to Sales Log spreadsheet start at July and go through to June instead on January through to December?
